What Are "Expired Items"?
Summary
Things like options, building models, building designs, etc can become expired when pricing or other important data changes. Whenever an item expires in The Shed App, there is a new item created that is a copy of the original with the changes applied. The expired item remains associated with the original quotes and/or buildings allowing that data to remain unaffected.
This article is intended to explain why and when items will expire in The Shed App.
Why Expire Items?
It can seem inconvenient for sales users when a Quote has “expired items”. However, when a user encounters “expired items” this means that changes have been made in the product catalog that prevent that same product from being sold as it was originally quoted. The intention of “expired items” is to ensure that only items with the most current information are used on an order. For example, if a price for an option is changed, only orders that have the most current pricing are able to be sold in the order form.
They also serve the purpose of ensuring historical product data is preserved for accurate reporting.
When do Items Become Expired?
Not all changes will cause items to expire. Below we will outline which changes will cause an item to expire. Keep in mind that some items will be associated with many other items. This means changes to one item may trigger many items to expire at the same time. An example would be changing the price of an option that is added to many building designs. This would cause the following:
The original option will expire.
A new option will be created in its place with the price change.
The new option will be identical to the old option, only with the price change.
All original building designs associated with the original option will expire.
New building designs will be created and associated with the new option.
The new building designs will be identical to the old building designs, only with an updated association to the new option with the updated price.
